Communication

All services are handled asynchronously via email or a project management tool such as Asana or similar. Discovery calls are for initiating significant projects. Monthly follow-up meetings are available via VisualPilot subscription at www.visualpilot.co.

Strategy included

Strategic direction on brand, design and campaign alignment is standard. Complex strategic needs such as brand strategy, positioning and audits are quoted separately.

Client responsibilities

Clients guarantee they have rights to all materials provided and are responsible for timely delivery of required assets.

Copywriting

I provide promotional and marketing copy based on your brief and brand guidelines. Specialised content requiring domain expertise, proprietary information or specific technical knowledge must be client-provided.

Final approval

Clients are responsible for final proofreading. Client approval is definitive sign-off. Any errors in approved versions are the client's responsibility.

Deliverables & source files

You receive final, ready-to-use files in standard formats (PDF, PNG, JPG, MP4 and similar). Editable working files (.ai, .fig, .psd, .aep) are not included unless specified in your service package or quoted separately.

Ownership

All rights transfer to the client upon final payment. I retain the right to display the work in my portfolio, case studies and promotional materials unless a confidentiality agreement is in place (see NDA fee in Payment).

Usage

Full usage rights. Once delivered and paid for, you can use the files anywhere you want: any channel, any market, any placement, for as long as you want. No time limits, no media restrictions, no extra licensing fees.

What's not included: modifying or adapting the files yourself. The deliverables are supplied as final files. Editing them, resizing them, recutting them or reworking them into new formats or new pieces is not covered. Those adaptations are handled by me, so the work stays consistent and holds its quality.

You cannot resell, redistribute or sublicense any deliverables to third parties.

Project timeline & materials

5-day rule. All required materials must be provided within 5 business days of payment. The project timeline begins the day I receive everything, not the day you pay. Materials arriving after day 5 mean your slot is no longer guaranteed and the project is rescheduled to the next available opening.

Delivery

Timelines are in working days, Monday to Friday.

Feedback

Client feedback is required within 48 hours of each delivery to keep the project moving. No response after 48 hours may delay your timeline. Delays of 15 days or more will pause the project (see Pause & cancellation below).

Revisions

Once the creative direction is approved, I keep refining until you sign off, at no extra charge, during the 30-day Finalization Window. This covers changes within the approved direction: text edits, colour adjustments, repositioning elements, pacing and timing tweaks.

New directions or new scope are quoted as a new project, minimum $120 USD/EUR. This includes changing the creative direction after approval, adding elements not included in the original brief, or introducing requirements not specified during briefing.

Finalization window

You have 30 calendar days from the first delivery to request revisions at no charge. This is a continuous 30-day period that does not pause for weekends, holidays or delays in your feedback.

What happens at day 30: if you have not given final approval by the end of the 30-day window, the project is automatically considered approved and complete. After this point, any changes become new projects subject to the minimum $120 USD/EUR fee.

To avoid this: send your feedback or final approval email before day 30, even if it's just "Approved, looks good".

Post-project edits

Any changes requested after project completion, either by your approval or automatic approval at day 30, are treated as new project requests. These are quoted based on the work required, with a minimum fee of $120 USD/EUR.

Pause & cancellation

• Pause. Projects pause automatically after 15 consecutive days without materials or feedback. Paused projects move to the back of the schedule.
• Cancellation by inactivity. Projects paused for 60 days or more may be cancelled. All payments are non-refundable. Work completed beyond the initial payment will be calculated and invoiced separately.
• Client cancellation. If you choose to cancel an active project, all payments made are non-refundable. Work completed beyond the initial payment will be calculated and invoiced separately.
• Reactivation. Reactivating a cancelled project requires a 10% reactivation fee and is subject to availability.

Pricing

Formal quotes are valid for 15 days from issue. All prices are quoted in USD or EUR as specified.

Payment options

• Standard, 100% upfront. Full payment required to begin work.
• Split payment, 50/50. Available with a 10% fee. Total project cost increases by 10%, split into two equal payments: 55% to start, 55% upon delivery.
• Future projects starting 30 days or more out. A 20% booking deposit secures your slot, and the remaining balance is due at project start. If paying 100% upfront, 80% is due at start. If using the 50/50 plan, 35% is due at start to complete the first 55%, and the final 55% at delivery.

Late payment

Final deliverables are not released until full payment is received. Projects with outstanding payment for 15 days or more will be paused. If payment remains outstanding for 60 days or more, the project is cancelled and the outstanding balance may be sent to collections.
